What is WorkFlex used for?

multilingual teams. It includes working hours, leave requests, sick leave and employee data. The

mobile crews in construction, logistics and field operations. It also enables efficient reporting
and centralised management of the organisational structure.

Is demo data transferred to the paid subscription?
No. The demo runs on a separate sandbox instance with fictional data. Nothing is transferred to the
paid version. When you subscribe, your company receives a clean, dedicated instance of the WorkFlex
time tracking app, ready for configuration.
How does offline data synchronization work?
Offline mode applies only to the mobile app. It can be used within a single shift during the same
day (currently, night shifts that cross over midnight are not supported).
Requirement: you must be logged in while connected to the internet beforehand. In offline mode, all
operations are saved locally and automatically synchronized once the device is back online.
Limitations and safeguards:
✓ Changing the device time or restarting the phone while offline blocks time tracking until
synchronization online.
✓ Attempting to log out while offline triggers a warning – re-login requires an internet connection.
✓ In online mode, the time and time zone are verified with the server, so changing the device time
does not affect correct time tracking.
Where is WorkFlex user data stored?
All data are stored securely on Hetzner servers in Falkenstein, Germany, meeting GDPR and German
compliance standards — essential for foreign companies working in DE.
What is the process for deleting data after subscription ends?
Data deletion is performed manually by an administrator after email confirmation. All files,
database entries and company-related data in the time tracking system are permanently removed.
What are the hardware requirements for the WorkFlex mobile app?
✓ Android: minimum 7.0 (Nougat) ✓ iOS: minimum 15.0 These versions support NFC-based clock-ins and

Are integrations with HR and payroll systems planned?
Yes. Currently, you can export data to XML and PDF from the time tracking software. Direct
integrations with HR/payroll systems are planned for future releases.
How can I submit a leave request in the time management app?
Go to the Leave module → "Add request". Select dates and leave type. The request is sent to your
manager or approval role defined in the system. Everything can be tracked directly in the app — even
for multilingual teams.
How can I add a sick leave to the system?
Go to Sick leave → "Add leave". Once saved, managers see it immediately. File attachments (e.g.,
medical certificates) are currently not supported, but core data and dates can be added.
How do I add a new employee in WorkFlex?
Go to Employees → Add employee and enter the required details. Roles and permissions define what
each user can access. Every employee receives an individual account — essential for accurate NFC
clock-ins and daily Arbeitszeiterfassung for field teams.
What is a work time model in the WorkFlex time tracking app?
A work time model defines working hours, breaks and cycles (shift systems, flexible hours). In Work
time models, you can create or select a model and assign it to an employee. Perfect for companies
managing rotating, multilingual crews across changing job sites.
